2026 Street Fair Vendor Application & Information


APPLICATIONS OPEN SEPTEMBER 1, 2025

IMPORTANT:

Do not apply using a mobile device. Mobile registration may cause issues.

Our application has CHANGED. Please review all of the information below before applying. 


APPLICATION PROCESS

  1. Complete the online application and pay a non-refundable $25 fee.

  2. Include all required photos with your application. Incomplete applications will not be reviewed.

  3. Upon acceptance, you'll receive an email with booth registration instructions.

  4. Vendors who apply by November 15 (Arts & Crafts and Commercial Vendors ONLY) receive a $25 early bird discount.

  5. Vendors placed in the wrong category must pay any fee difference. The committee makes final decisions on classification.

  6. Booth fees must be paid by the deadlines listed below to secure your space.

  7. Booth location requests are considered but not guaranteed. Assignments are based on payment date and space availability. 

  8. Prior to the Festival, accepted vendors will receive an email with detailed instructions on event set-up and expectations

 


INSURANCE & PERMITS

  • All vendors must provide a Certificate of Insurance (COI) with coverage of $2M aggregate /  $1M per occurrence for the dates of the Festival, April 10-12, 2026

  • COI must list North Carolina Azalea Festival at Wilmington, Inc. as additionally insured.

  • A temporary 3-day policy may be obtained from Harold Wells Insurance: (910) 762-8551.

  • All vendors must obtain an NC Sales Tax ID via the NC Department of Revenue or call 1-877-252-3052.

VENDOR CATEGORIES

Category

Description

Food Vendor

Sells food prepared and cooked on-site. Must meet all Health Department and fire safety standards.

Arts & Crafts Vendor

Handmade or self-produced goods only. The resale of mass-produced or third-party items is not allowed.

Commercial Vendor - Small Business

Locally owned businesses with storefronts or services (not franchises or national chains).

Commercial Vendor - National Brand

Corporations, franchises, or nationally recognized brands.

501(c)(3) Non-Profit

Registered charitable nonprofits. Must submit IRS designation. 

Street Fair Zone Vendor

Businesses with permanent addresses, located inside the Street Fair Zone. Placed near the storefront, if possible.

SETUP & CHECK-IN

  • Setup: 

    • Arts & Commercial Vendors- Friday, 9 AM – 5 PM

    • Food Vendors- Friday, 8 AM - 12 PM

  • Check-in deadline: 

    • Arts & Commercial Vendors- 5 PM Friday (late arrivals forfeit space)

    • Food Vendors- 12 PM Friday (late arrivals forfeit space)

  • No vehicles are allowed on the streets after 5 PM on Friday.

  • Vendors must bring their own tents, tables, chairs, and weights.

  • Accepted vendors will receive an email with detailed instructions on event set-up and expectations 2 weeks before the Street Fair.

 


ELECTRICITY & SAFETY

  • Max 50 amps per booth.

  • Electricity is limited and must be requested and paid for in advance.

  • Bring 200-ft cords, grounded and rated for your needs.

  • All electric setups must pass inspection.

  • Vendors using electricity must have a 5lb fire extinguisher (tagged within one year).

  • The Street Fair is located in an area with heavy winds. To safely secure tents, please be prepared with 50 lbs of weight for each leg of the tent.

 


PARKING

  • No assigned parking for Arts or Commercial vendors.

  • Use city decks or free weekend street parking.

  • Refrigerated food vendors will be assigned parking nearby.

 


FOOD & ALCOHOL SAMPLING

  • All food vendors must have permits and pass Health Department inspections.

  • Wine may only be sold by the bottle; tasting is allowed for 21+.

  • No liquor sampling is allowed.

  • An ABC permit is required for alcohol vendors.

 


DISPLAY & HOSPITALITY GUIDELINES

  • Booths must be staffed at all times.

  • Displays must remain within your space.

  • No amplified music, inappropriate content, or unapproved sales.

  • Treat guests, vendors, volunteers, and staff with respect.

  • Report misconduct to streetfair@ncazaleafestival.org

 


SECURITY & LIABILITY

  • Overnight security is provided, but vendors are responsible for their property.

  • Festival is not liable for loss or damage.

  • Vendors must comply with fire, safety, and local regulations.

  • No refunds for any reason once accepted.

 


CLEAN-UP

  • Leave no trash, oils, grease, or debris in or around your booth.

  • No dumping into streets, drains, or public property.

 


RESTRICTIONS

  • No pets

  • No issue advertising (political/religious promotion, etc.)

  • No sales outside the assigned booth

  • Violators may be removed without a refund and banned from future events
